How to write an end-of-season sponsor recap

2026-10-18

The season is over, the trophies are handed out and the volunteers are tired. This is exactly when most groups forget to do the one thing that wins next year's sponsors: send a recap. A short, honest summary of what you delivered shows sponsors their money mattered and makes renewal easy. Here is a simple recap you can put together in under an hour.

Open with thanks and one sentence of impact

Start by thanking the sponsor by name. Then say, in one sentence, what their support made possible: new uniforms, lower fees for families, a trip to a regional event, or a new set of instruments. Keep it specific and true.

This opening is what owners remember. It turns the recap from a report into a thank-you note with proof attached.

List what you delivered

Go through your agreement and list each item with dates: banner displayed at eight home games, four social posts, two newsletter mentions, logo on the shirts. Tick each one off. If something was missed or changed, say so plainly and note how you made up for it.

This section is the heart of trust. Sponsors renew when they can see you did exactly what you promised.

Add real proof

Include a few photos: the banner at a game, players in the shirts, the sponsor's table at an event. Add screenshots of posts with their views or likes, and any code or link counts you have. Use only real numbers; leave out anything you cannot confirm.

Keep it to one or two pages. A short recap that is easy to read beats a long deck that never gets opened.

Close with next season

End with a simple next step: "We would love to have you back next season. The same package is available at the same price, and we can add a team photo with your logo. When do you usually plan next year's budget?" Then follow up near that date.

If you plan to change prices or packages, mention it now so there are no surprises later.

Send it within two weeks

Timing matters. Send the recap within two weeks of the season ending, while the experience is fresh for both of you. Save a copy in your sponsor log with the date sent and any reply.

Make the recap a habit for every sponsor, large or small. Groups that send one every season build a reputation as reliable partners, and that reputation is what brings sponsors back — and makes new ones easier to win.

A copy-and-paste recap outline

Subject: Thank you from [group] — your [season] recap. Paragraph one: thanks, and one sentence on what the support made possible. Section two: what we delivered, as a short list with dates. Section three: photos and post links. Section four: numbers we can confirm, such as attendance, post views and code uses. Section five: next season — the same package and price, one small improvement, and a question about when they plan next year's budget.

Fill it in for each sponsor, attach three to five photos, and keep the total to one or two pages. If you have many sponsors, write the shared parts once and personalise the opening and the delivery list for each one.

Save every recap in your sponsor log. Next season, last year's recap is the perfect starting point for your renewal message and for showing new businesses what sponsoring your group looks like.

If a sponsor's support was small, send a recap anyway. Small sponsors often become larger ones when they feel noticed, and they talk to other business owners. A short, honest recap costs your group an hour of volunteer time, and it can be the reason a sponsor doubles its support next year or recommends your group to a neighbour.
